LocoSOFT respects your privacy. This policy explains how we collect, use, store and share personal information when you use this website, contact us, request information, download a resource, book a demonstration or otherwise engage with us.

What information we collect
Depending on how you interact with us, we may collect:
- your name, work email address, phone number, job title and organisation;
- information you provide in an enquiry, shared-challenge submission, demo or test-access request, brochure request, onboarding discussion or support request;
- correspondence and records of our interactions with you;
- professional contact information supplied by a colleague, partner or other legitimate business source, or available from a public professional source;
- technical information generated when you use the website, such as your IP address, browser or device type, pages viewed, approximate location and cookie information; and
- any other personal information you choose to provide.
We aim to collect only the information reasonably necessary for the relevant purpose. Please do not include confidential council information, sensitive personal information or production data in a general website enquiry unless we have specifically asked you to do so through an approved channel.
How we collect information
We usually collect personal information directly from you through website forms, email, phone calls, meetings and your interactions with our website. We may also receive professional contact information from your organisation, a referral, ALGIM or another sector partner, or a publicly available professional source. Where the Privacy Act requires us to notify you about an indirect collection, we will take reasonable steps to do so.
Why we use your information
We may use personal information to:
- respond to enquiries and provide requested information or resources;
- arrange demonstrations, test access, onboarding, training and support;
- assess shared council challenges and potential sector demand;
- manage our relationship with you and your organisation;
- send relevant service, product or event information where you have asked for it or where otherwise permitted by law;
- operate, secure, maintain and improve our website, forms and services;
- prevent misuse, investigate incidents and protect our rights and systems; and
- meet our legal, regulatory, accounting and reporting obligations.
Fields marked with an asterisk on our forms are mandatory. If you do not provide required information, we may be unable to process your request, provide the requested download or respond effectively.
Who we may share information with
We do not sell personal information. We may share it only where reasonably necessary with:
- people within LocoSOFT who need it to respond to or deliver the relevant service;
- trusted providers that support our website, hosting, security, email delivery, customer communications and business systems, including WordPress and Brevo;
- professional advisers, insurers, auditors or authorities where reasonably required; and
- another person where you authorise us to do so, or where disclosure is required or permitted by law.
Some service providers may process or store information outside New Zealand. Where this occurs, we take reasonable steps to use reputable providers and appropriate contractual or other safeguards.
Cookies and website information
Our website may use cookies and similar technologies that are necessary for site operation, security, forms and user preferences. Where analytics or embedded third-party content is enabled, those services may also set cookies or receive technical information. You can control cookies through your browser settings, although disabling necessary cookies may affect how parts of the site work.
Marketing communications
We will send marketing communications only where you have requested them or where we otherwise have a lawful basis to do so. You can unsubscribe using the link in an email or by contacting us. Service and transactional messages, such as a response to an enquiry or requested resource, are not marketing messages.
How we protect and retain information
We use reasonable technical and organisational safeguards designed to protect personal information against loss, unauthorised access, disclosure, alteration or misuse. No internet service can guarantee absolute security, but we review our safeguards and respond to suspected incidents. If a privacy breach is notifiable under the Privacy Act, we will notify the Office of the Privacy Commissioner and affected individuals as required.
We retain personal information only for as long as reasonably required for the purpose for which it was collected, to manage an ongoing business relationship, or to meet legal and operational requirements. We then securely delete or anonymise it where practicable.
Accessing or correcting your information
You may ask to access or correct personal information we hold about you. You may also raise a privacy concern by emailing hello@locosoft.co.nz. Please provide enough detail for us to identify the relevant information and respond to your request.
If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner.
LocoSOFT applications and council data
This policy covers LocoSOFT’s public website and general business enquiries. Personal information and council data processed within LocoSOFT applications, including LocoDELEGATIONS, may also be governed by the relevant council agreement, implementation arrangements and application-specific notices. If those documents differ, the more specific terms apply to that application or service.
Changes to this policy
We may update this policy when our services, providers or legal obligations change. The current version will be published on this page with its effective date.
